Key Responsibilities
- Oversee daily office operations to ensure an organized and efficient work environment.
- Answer incoming customer calls, respond to inquiries, and direct calls appropriately.
- Process customer orders, prepare invoices, and manage accounts payable and accounts receivable.
- Match purchase orders with invoices and assist with bookkeeping and accounting functions.
- Run checks, assist with collections, and reconcile financial records.
- Track employee PTO and vacation requests through Paycom.
- Support payroll preparation and maintain employee records.
- Assist with inventory reporting, production-related administrative tasks, and paper waste reporting.
- Prepare reports, maintain filing systems, and support leadership with special projects.
- Coordinate office supplies, vendors, meetings, and other administrative functions as needed.
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- 3+ years of office management, administrative, or supervisory experience.
- Experience with bookkeeping or accounting software such as QuickBooks or similar.
- Strong understanding of basic accounting principles.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Excellent organizational, communication, and time management skills.
- Strong attention to detail and the ability to manage multiple priorities.
- Ability to maintain confidentiality and handle sensitive information.
- Ability to occasionally lift up to 25 pounds and perform routine office tasks.
- Experience with payroll and HR administration.
- Leadership experience overseeing office operations or administrative staff.
- Background in the printing or envelope industry.
- Experience with Adobe Illustrator, Adobe InDesign, or PDF workflows.
- Professional, customer-focused attitude with the ability to take initiative and keep projects on track.
